From purchase request to capitalised asset — and from asset to managed disposal.
In Odoo 19, the vehicle lifecycle begins with a structured purchase request raised directly in the Fleet app. Fleet managers fill in the Vehicle Purchase Request form capturing asset type, expected cost, and business justification. On save, the request moves to the Awaiting Approval stage and an automated email is sent to the Procurement Officer for evaluation.
Once the vehicle is procured, it is automatically registered as a fleet.vehicle record and capitalised as an account.asset in Odoo Accounting — with the correct depreciation method and useful life. When a vehicle reaches end-of-life, a structured disposal workflow captures the maintenance inspection sign-off, documentation upload, and accounting close-out, all tracked in one place.

How It Works in Odoo 19
Submit Purchase Request
Fleet Manager fills in the Vehicle Purchase Request form in Odoo Fleet. The request captures asset type, expected cost, and justification. On save, it moves to the Awaiting Approval stage in the procurement kanban and triggers an automated email to the Procurement Officer.
Procurement Approval
The Procurement Officer evaluates the request and either accepts or rejects it with a comment. On acceptance, a linked purchase order is created and the requester is notified. The request moves through a structured kanban: Requested > Accepted > Procured.
Register & Capitalise
On procurement close, the vehicle is registered as a fleet.vehicle record with full specifications. The system auto-creates an account.asset entry linked to the vehicle, applying the configured depreciation method. Finance tracks depreciation schedules and plans for eventual replacement.
Managed Disposal
When a vehicle is flagged for disposal, a workflow is triggered: maintenance inspection, documentation upload (trade-in or write-off evidence), Fleet Manager approval, and accounting close-out with final depreciation adjustment. Full audit trail from acquisition to disposal.
Built on Odoo 19 Fleet module + OCA purchase_request. Custom erc_fleet_acquisition provides fleet-specific kanban states and the procurement-to-vehicle linkage. Asset depreciation handled by Odoo account.asset module.
