Fleet Control stores comprehensive driver profiles covering all information required for South African road transport compliance: licence number, licence categories (Code 8, 10, 14, EC), Professional Driving Permit details, expiry dates, medical certificate dates, and emergency contact information. All expiry dates are monitored automatically with configurable multi-stage alerts sent to the driver, fleet manager, and HR officer.
The AARTO integration connects with RTIA (Road Traffic Infringement Agency) to automatically retrieve infringement notices and update each driver's demerit point balance in Odoo. Fleet managers receive escalating alerts as drivers approach the 15-point suspension threshold. Dispatchers are hard-blocked from assigning drivers whose licence is expired, suspended, or whose demerit balance exceeds the configured safety threshold.

How It Works in Odoo 19
Create Driver Profile
Set up a full driver record with personal details, licence number, categories (Code 8/10/14/EC), PDP number, issue and expiry dates, medical certificate date, and contact information. The driver profile links to their hr.employee record for payroll and HR integration.
Automated Licence Alerts
Configurable expiry alerts fire at 90, 60, and 30 days before licence or PDP expiry. Alerts are sent to the driver, fleet manager, and HR officer via email and Odoo activity. Drivers access their own licence status and renewal reminders through the self-service portal.
AARTO Demerit Tracking
The RTIA API integration automatically retrieves infringement notices for each registered driver and updates their demerit point balance in Odoo. The fleet manager is alerted when a driver reaches 12 of the 15 suspension-threshold points — with a second critical alert at 14 points.
Dispatch Block
When a driver's licence is expired or suspended, or their demerit balance exceeds the configured limit, the system prevents dispatchers from assigning that driver to any vehicle. The dispatcher sees a clear alert with the reason and the earliest date the driver can be reinstated.
Built on Odoo 19 HR (hr.employee) and Fleet modules. Custom erc_fleet_aarto module provides RTIA REST API integration, fleet.driver.demerit model for balance tracking, and dispatch validation logic injected into fleet.vehicle assignment write operations.
