Fleet Control integrates directly with electronic fuel management systems — including Gilbarco AFS dataFLEX360 — via a scheduled API connector. Fuel transactions are automatically pulled into Odoo and matched to the correct vehicle, eliminating manual fuel card reconciliation and creating a complete, tamper-resistant fuel record for every fill-up.
The built-in anomaly detection engine flags irregular fill-ups automatically: after-hours transactions, volumes exceeding the vehicle tank capacity, consecutive fill-ups within a short time window, and fills at locations outside normal operational routes. Each flagged transaction generates an instant fleet manager alert and feeds into the irregular fill-ups compliance report.

How It Works in Odoo 19
Automated Data Pull
A scheduled API connector runs at configurable intervals (hourly or daily) to pull transaction data from the Gilbarco AFS dataFLEX360 API or other connected fuel card platform. No manual CSV import or data entry required at any point.
Vehicle Matching
Each imported transaction is automatically matched to a fleet.vehicle record by vehicle registration number or fuel card number. Unmatched transactions are flagged for manual review. Matched transaction details — volume, cost, location, date, time, pump number — are stored on the vehicle fuel log.
Anomaly Detection
Every import batch is automatically checked for: fill-ups outside configured working hours, volumes exceeding the vehicle's tank capacity, fill-ups within 2 hours of a previous fill on the same vehicle, and fills at locations outside defined operational geofences. Each anomaly triggers a fleet manager alert.
Cost Centre Reconciliation
All fuel transactions are automatically posted to the vehicle's analytic account for cost centre reporting. Finance analysts reconcile total fuel spend per vehicle, per driver, per route, and per department — and compare actuals against fuel budget in real time.
Custom erc_fleet_fuel_api module with an ir.cron scheduled connector to the Gilbarco AFS REST API. Anomaly detection rules are configurable per vehicle category. Imported transactions map to fleet.vehicle.log.fuel records with automatic analytic account posting.
