Fleet Control combines reactive repair logging with proactive preventative maintenance scheduling in a single integrated workflow. Every repair — from a tyre change to an engine overhaul — is logged against the vehicle with full detail: date, technician, reason, parts used from inventory, cost, and time off-road.
Preventative maintenance is configured by mileage threshold and time interval per vehicle or vehicle category. When a vehicle approaches the service threshold, Odoo automatically creates a work order, triggers an approval workflow to confirm the booking with the service provider, and sends reminders at configurable intervals before the service date.

How It Works in Odoo 19
Configure Thresholds
For each vehicle, configure preventative maintenance triggers: service every X kilometres or every X months — whichever comes first. Set the service provider, assign a default technician, and configure the lead time for booking confirmation reminders.
Auto-Trigger Work Orders
When the vehicle odometer reading approaches the configured threshold, Odoo automatically creates a maintenance work order and moves it to the Approval stage. The system projects the threshold date based on the vehicle's recorded average daily mileage.
Approval & Confirmation
The fleet manager approves the work order. The system sends a booking confirmation to the driver and the service provider. Automated reminders are sent at 7 days, 3 days, and 1 day before the scheduled service date.
Complete & Record
The assigned technician completes the work order in Odoo, records parts used (pulling directly from inventory stock), actual labour time, and final cost. The vehicle service record is updated and the next maintenance threshold is automatically calculated and set.
Built on Odoo 19 Fleet (fleet.vehicle.log.services) and Maintenance (maintenance.request) modules. Mileage-based triggers managed by ir.cron scheduled actions checking odometer readings daily. Parts usage linked to stock.move for inventory deduction.
